Rules for Booking Away Hikes and Functions

Please read the following information carefully to fully understand the terms and conditions of the REVISED booking process.


  • Hikes will be advertised to members.  Hike Costs will be indicated. In some cases, an approximate cost will be indicated as certain hike costs are only confirmed in the first quarter of the year..


  • Members will email the Club Administrator to request their name to be placed on the waiting list for a particular hike.  Names will be recorded on the waiting list on order of receipt.  Please ensure that you are realistic about your interest in the hike, based on your fitness level, availability during the hike dates, as well as the hike cost.  No payments accepted at this stage.


  • The Club Administrator will then advise the date when bookings will open for a section of the year’s hikes. (+/- October 2023 for January to June bookings).

  • Members on the ‘confirmed’ waiting list have 1 month from when bookings open, to make payment on a first-paid first confirmed basis.

  • Those on the waiting list that have paid will move to the confirmed booking list once POP has been received by the Club Administrator If you are unable to make payment, you will remain on the waiting list. 

  • However, after the 1-month period, other members are allowed to book and make payment, as well as non-members -  on a first-paid basis. You will remain on the waiting list once the list is filled with paid participants, in case there is a cancellation.

  • No deposits accepted, full payments only.


Please note:

  • Bookings can only be made through the Club Administrator, and not the Hike Leader, Camp Leader or Function Organiser.

  • The onus is on you to confirm that your proof of payment has been received by the club administrator.

  • For strenuous trails (e.g. Wilderness Backpack hikes), persons must first discuss their possible participation with the hike leader before booking with the Club Administrator. This is for trails where adequate strength and fitness are critical for a safe and successful hike.

  • No refund will be given if there is a non-disclosure of health issues, and the participant is unable to complete the hike.


Cancellation Rules

  • Bookings can be cancelled at any time, but refund rules apply.  

  • Refunds on confirmed bookings cancelled prior to the event date will be charged a cancellation fee as follows:

  • Cancellations more than 45 days prior to the event = 10% of the net amount (with a minimum admin fee of R100)

  • Cancellation within 44 to 30 days of the event = 25% of the net amount.

  • Cancellation within 29 to 15 days of the event = 50% of the net amount.

  • Cancellation within 14 days of the event date = 100% of the net amount

  • If someone takes your spot, then this clause will fall away but, in that case, the administration fee (10% of the hike venue fee, with a minimum admin fee of R100) will still apply.
