Rules for Booking Away Hikes and Functions

  • Bookings can only be made through the Club Administrator, and not the Hike Leader, Camp Leader or Function Organiser. These are on a first-come basis.

 

  • A booking is only confirmed when confirmation of full payment is received by the club administrator, places cannot be reserved in any way, paying a deposit or putting your name down does not guarantee your spot.

 

  • The onus is on you to confirm that your proof of payment has been received by the club administrator.

 

  • Members have priority over non-members.  Bookings from non-members will only be accepted after 30 days from the date that the event is first advertised.

 

  • To secure your spot on the waiting list for fully booked events, you can make full payment. Should a spot become available it will be offered to you. Again, on a first-come, first-served basis.

 

  • People on the waiting list can cancel at any time and receive a full refund. If a spot does not become available, you will also receive a full refund.

 

  • If you have enquired about a hike, and there are no paid-up people on the waiting list, any spots that become available will be offered to the next person on the waiting list.

 

  • For strenuous trails, when stated in the program, persons must first discuss their possible participation with the hike leader before booking with the Club Administrator. This is for trails where adequate strength and fitness is critical for a safe and successful hike.

 
 

 

  • Bookings can be cancelled at any time but refund rules apply.  

 

Refunds on Confirmed bookings cancelled prior to event date will be charged a cancellation fee as follows:

  • Cancellations more than 45 days prior to event = 10% of the net amount( with a minimum admin fee of R100)

  • Cancellation within 44 to 30 days to event = 25% of the net amount.

  • Cancellation within 29 to 15 days to event = 50% of the net amount.

  • Cancellation within 14 days of event date = 100% of the net amount

 

If someone takes your spot, then this clause will fall away but in that case the administration fee (10% of hike venue fee) will still apply.

 

Please note that refunds will not be made if, at the time of the hike, you are unable to get to the away hike for whatever reason. The onus is on you to get to the venue.
